Job opening: Bilingual Administrative Assistant

(New Orleans-area facility) 

POSITION SUMMARY

This position requires a strong passion for the non-profit industry, great judgment, strong interpersonal and organizational skills. The ability to work independently without much supervision is critical. Primary responsibilities includes managing  the administrative needs of the food bank office, conducting daily tasks, and providing general organization-wide support as needed. This individual must be Bilingual (English/Spanish) and project a professional image through in-person and phone interactions.

ACCOUNTABILITIES

  • Greet clients, visitors, volunteers, and staff in a professional manner with proper telephone etiquette and personal greetings.
  • Provide excellent customer service in representing SHFB as the first point of contact.
  • Direct visitors, clients, and volunteers to appropriate SHFB team members or meeting rooms.
  • Sort and accurately direct mail in a timely fashion.
  • Maintain accurate and complete sign-in/sign-out procedures for visitors and vendors.
  • Order and maintain office and break room supplies.
  • Receive donations of food and money from walk-in donors.
  • Maintain accurate calendars, spreadsheets, and directories.
  • Receive and distribute facsimiles in a timely fashion.
  • Schedules meetings and interviews as requested by Director of HR.
  • Maintain electronic filing system of HR files.
  • Participate in meetings and committees as appropriate.
  • Comply with all SHFB policies and procedures.
  • Maintain a professional, positive, and courteous demeanor.
  • Perform other duties as assigned to meet company needs.

QUALIFICATIONS

Education:  High school diploma or equivalent is required.

Experience:  At least 1- 3 years’ experience that is directly related to the duties and responsibilities specified.

  • Communicates clearly and effectively.
  • Ability to translate between English and Spanish
